Why we built BillGrid
Why BillGrid brings invoicing, water billing, waste billing and payment follow-up together, and what that means for the teams running a monthly billing cycle.
On this page 6 sections
BillGrid brings invoicing, water billing, waste billing and payment follow-up into one workspace. The aim is practical: make it easier to see who has paid, what remains unpaid and which accounts need attention.
A water scheme still needs readers. A waste collector still needs crews. A service business still needs to deliver the work. Billing software should help those teams keep a reliable record of the work and the money that follows it.
The gap between delivering and collecting
A bill in one spreadsheet, a payment in a paybill statement and a reminder on someone's phone can each look correct on their own. The trouble starts when they don't agree.
A payment may be unidentified rather than missing. A bill may contain a reading error rather than a real increase in use. A reminder may be chasing an amount already paid. Resolving those questions needs a connected customer history.
That is the problem BillGrid is designed to help with. Our guide to reconciling M-Pesa paybill payments shows a routine you can use whether you have ten customers or a whole scheme.
A clear view of each customer
A customer may have a water connection, waste collection service and a separate invoice. BillGrid lets you manage those records together while keeping the individual accounts and invoices visible.
A combined view should make it easier to answer a question without losing the detail behind it. Check which invoice a payment settled and where any credit remains; don't assume a payment for one service has cleared every other service.
What that means in everyday use
Water bills backed by readings
For metered accounts, BillGrid flags missing or questionable readings for attention before billing. It does not generate an estimated customer reading to fill a gap. Readers can capture the meter and a photo, then return to accounts that need another visit.
This is a product choice, explained in why we avoid estimated readings. Flat-fee services have their own agreed charging basis.
Payments into your own paybill
When customers pay into your own connected Safaricom paybill or till, the money goes to you. BillGrid does not take a percentage of those receipts. Your subscription, messaging and any applicable payment-provider charges are separate costs.
Payment options depend on the methods you have connected. Keep the terms and fees for each method clear to customers.
Corrections with a history
A correction should explain what changed and why. BillGrid supports billing corrections and credits, so an account can show the original charge and its resolution. A credit note and a cash refund are different actions. Where a refund is owed, the merchant remains responsible for arranging it through the payment provider and keeping the records consistent.
A controlled month end
Period controls help protect completed accounting work. Check the reports, investigate discrepancies and close the period when it is ready. Give the people responsible for the books the access they need to review it.
Field capture without a reliable signal
The field reader and crew sheet support offline capture and later syncing. Readers and crews can record work at the meter or gate. Check that pending work has synced before relying on office totals; photo recognition needs a connection.
Assistance with control over automation
BillGrid can help draft invoices and messages, review unusual readings and suggest follow-up work. Review suggestions before relying on them, and choose automation settings that suit your team.
Some routine actions can run under settings you have enabled. That is different from requiring a fresh approval for every message. Your team should know what is automated, who reviews exceptions and how to check the result.
Built around Kenyan billing work
M-Pesa collection, statement reconciliation and SMS or WhatsApp delivery belong in the same monthly routine as issuing bills. Email and other payment instructions remain useful for customers who prefer them.
Configure tax according to your registration and the supply being billed. A branded PDF or payment receipt does not by itself establish tax compliance. Use the applicable KRA eTIMS guidance for electronic tax invoicing; BillGrid's billing and collection features do not replace those obligations.
Start with the work you actually bill
BillGrid focuses on three products: invoicing, water billing and waste billing. Choose the workflow that fits your operation, bring a checked customer list and run a billing cycle you can review.
The goal is a dependable answer to three questions: who has paid, who still owes and who needs follow-up. If you are considering the move from a spreadsheet, start with the signs it is time to move off Excel.
