01
How is my price worked out?
On what you actually bill. We count your active connections and collection points, place each product in a capacity band, and that band carries a fixed monthly price. Bands step in fifties up to five hundred and in hundreds above. Each product is counted separately and the whole thing is billed as one subscription.
02
Is the estimate the price I will pay?
It is very close, and it is the same figure anyone your size is quoted - there is no negotiated rate for turning up in person. It moves only if your real connection count differs from the number you typed, so we confirm it against your imported register before you pay anything. It excludes VAT, and SMS and WhatsApp, which are prepaid per send.
03
What happens during the free trial?
You get the whole product for 14 days - meter reading, tariff bands, billing runs, M-Pesa collection and reconciliation, reminders and reporting. No card is required. Trials are capped at a mid-size band, which is far more than a trial needs; if you are larger than that, talk to us and we will set the trial up around your data.
04
Is the free invoicing plan really free forever?
Yes. It covers up to 25 customers and 250 invoices a month with 3 team members, and it does not expire. It is a genuine free tier for a small supplier, not a countdown. Past that, invoicing is priced on the customers you bill - and if you also run water or waste billing, a generous invoicing allowance is carried inside that subscription at no extra charge, with your utility customers never counted twice.
05
Do you charge per user?
Your subscription includes a team allowance and you can add seats beyond it at Ksh 400 a month each. Meter readers and field staff are the point of the product, so nothing about the pricing discourages putting them on it.
06
How are SMS and WhatsApp billed?
They're pass-through, prepaid from a notification wallet - no bundles and no contracts. You pay the carrier rate plus a small margin, deducted per send, and high-volume senders qualify for lower rates. Email is always free, so if your wallet runs out your invoices still go out.
07
How often am I billed?
Monthly, on the connections you actually bill that month, so the price follows your real size as you grow.
08
Do your prices include VAT?
Prices we quote are exclusive of VAT. If we become required to charge VAT, 16% is added on Kenyan subscriptions and we'll tell you before it takes effect. Customers outside Kenya aren't charged Kenyan VAT.
09
Are BillGrid subscriptions refundable?
No. BillGrid subscription and extra-seat fees are strictly non-refundable except where mandatory law requires otherwise. To cancel, contact our support team: cancellation takes effect at the end of the period you have paid for and does not create a prorated refund or credit for it. Read the full Refund and Cancellation Policy before subscribing.
