Invoicing · Recurring revenue
Retainer and subscription billing on a schedule
Put every repeat customer on a plan and let BillGrid raise, send and collect each cycle's invoice by itself - so revenue that should arrive on the 1st actually does.

How it runs
Every cycle
raised and sent without anyone remembering
- Set the plan once; every cycle bills itself.
- Every cycle — raised and sent without anyone remembering
- Same customers, same ledger, one follow-up trail

Who this is for
If you run Recurring revenue and bill the same customers again and again, this page is for you.
- Invoicing
- Recurring revenue
Recurring revenue only looks predictable from the outside. Inside, somebody has to remember: raise the same invoice for the same customers on the same day of every month, send it, notice who paid, and follow up the rest. It is the most automatable work in a business and it is almost always done by hand, which is why a customer who quietly stopped being invoiced can go two or three cycles before anyone notices the gap.
What manual recurring billing costs
- A cycle gets skipped or billed late because the person who does it was away
- Every customer is invoiced from a copy of last month's document, carrying last month's mistakes
- Payments trickle in over three weeks and nobody can say which cycle is fully collected
- A customer who cancelled keeps getting billed, or one who upgraded keeps getting billed the old amount
Set the plan up once
Put a customer on a recurring plan with the amount, the cycle and the start date, and BillGrid raises and sends each invoice on schedule from then on. The invoice is a full branded invoice - line items, your logo, a due date, 16% VAT applied and shown correctly - with the PDF attached to the email and a pay link inside it, not a reminder message. Customers who join part-way through a cycle are prorated rather than charged a full period.
Different customers on different amounts and different cycles are just different plans. A customer can hold a recurring plan and one-off invoices at the same time, all against one balance.
Collect it the way they already pay
The pay link takes M-Pesa STK push and card on the same page - the customer approves a prompt on their phone and the invoice clears itself through webhooks. A branded PDF receipt is raised and emailed the moment the payment settles, every cycle, without anyone sending it.
For the customers who pay into your paybill, till or bank instead, upload the statement and BillGrid reads every incoming transaction, proposes the invoice it settles and posts what you confirm. A payment quoting the account reference clears the oldest cycle first and banks anything over as credit against the next one - which is exactly what you want from a customer who pays two months at a time.
Invoices and reminders reach customers by email free and unlimited, and by SMS or WhatsApp where that is the channel they actually read.
Know which cycle is collected
Because every cycle posts against one customer balance on one ledger, you can see the collection rate for a period, which customers are aged 30, 60 or 90 days behind, and a ranked list of who to follow up. Reminders go out automatically on the schedule you set, so the first three follow-ups are not a person's job. Any customer can be handed a statement for any date range showing every cycle billed and every payment made.
Change it without breaking the history
Amounts change, customers pause, customers leave. Changing a plan changes what is billed next cycle - it does not rewrite the invoices already raised, already paid and already receipted. The ledger keeps what actually happened, which is what makes the revenue figure defensible when someone asks how it was calculated.
What you’ll need
Recurring billing is a paid product, priced on what you bill - so a small scheme pays like a small scheme and nothing is capped as you grow. Start with a 14-day trial of the whole thing, no card required, and we will quote you before it ends.
